Hotel Accommodation Terms and Conditions

When booking with Dudsbury Golf Club, Hotel & Spa you will be accepting the following terms and conditions:

All guests may be asked to produce photo ID on check-in at the hotel. If you are unable to produce a photo ID, you may be refused entry to the hotel.

Any guests paying cash for their bookings must produce photo ID on check-in at the hotel. If you are unable to produce a photo ID, you will be refused entry to the hotel.

Minors under 18 must be accompanied by parents or a legal guardian

In the event of an obvious or palpable error, however, this may have occurred or be displayed, we reserve the right to decline your booking and refund you the amount paid.

All cars are parked at the owner’s risk.

Prepaid Non-refundable bookings

A credit/debit card is required at the time of booking to pay for the reservation.

Bookings made on a Prepaid rate are charged at the time of booking and are non-refundable. The payment card must be produced upon check-in at the hotel along with photo ID matching the identity shown on the card.

Should you wish to make any changes, we may require a £10 amendment fee plus any difference in price for the new reservation, you will be charged. Subject to availability at the time of amending the booking.

VAT is included in the price.

You may be asked for a credit card on check-in to guarantee any charges in addition to your room charge. The card will be authorised but not charged at that time.

Pay upon Departure – Free Cancellation until 24hrs prior to the arrival date

A credit card is required at the time of booking to guarantee the reservation.

The credit card will not be debited unless you fail to arrive for the reservation.

Payment for your stay will be made upon checkout.

If you wish to pre-pay or pay by any other means please contact the main hotel reservations on 01202 593 499 ext. 2.

You may cancel your reservation up to 24 hours prior to 2pm local hotel time on the day of arrival without any financial penalty. Cancellations received after this time will be charged for the first night of your stay.

If you fail to arrive and have not cancelled your reservation in the allocated time you will be charged for the first night of your stay.

Arrival & Departure

Hotel rooms are available from 2.00pm on the day of arrival.

Rooms must be vacated by 11am on the day of departure. Upon check-out, our Reception Team will finalise your bill. You will need to settle in full unless we have agreed to a credit account at the time of booking.

Spa Treatments & Leisure Facilities

Our Spa is open Tuesday – Saturday 9am – 3pm for Spa Days and Treatments only and is not included in Hotel Stays. Pre-booking is essential to avoid disappointment.

Dogs

Dogs are not permitted in the Hotel with the exclusion of assistance dogs.

Guest behaviour

Guests are requested to conduct themselves appropriately at all times and to comply with Company procedures and/or requests with regard to conduct and respect for the property of the Hotel, its employees and guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the Hotel, or cause offence to other guests or our members of staff. We reserve the right to refuse accommodation or services or remove you and members of your party from the Hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

No smoking

Guests are not permitted to smoke in rooms or public areas at the Hotel. Guests found to have been smoking in their rooms will be liable for a £50 deep cleaning charge.

Cancellation Policy

Bookings made may be subject to the following cancellation policy:

Leisure Guests:

Up to 24hrs prior to 2pm local time on the day of arrival cancellation is free of charge. Any cancellations exceeding this time will be charged for the first night’s stay

Corporate Guests:

Up to 12pm local time on the day of arrival cancellation is free of charge. Any cancellations exceeding this time will be charged for the first night’s stay

Golf and Hotel Stay Packages:

Up to 48hrs prior to 2pm local time on the day of arrival cancellation is free of charge. For any cancellations exceeding this time, the deposit will be retained. The deposit can be transferred to an alternative date within a 12-month period from the cancellation date. If this time period passes and no alternative booking is made the deposit will be retained.

Spa Treatments:

A 50% Deposit is required at the time of booking any Spa Treatment. Up to 48hrs prior to the treatment time cancellation is free of charge.  For any cancellations exceeding this time will result in deposit retention.

If we need to cancel

It is highly unlikely that we will cancel your booking, but in the event of the following it maybe necessary:

  • The hotel, or any part of it, is closed due to circumstances out of our control
  • If your booking is through a company that becomes insolvent or go into receivership
  • If you are more than 30 days behind in any payment to the hotel
  • If your booking may affect the reputation or damage to the hotel

In the event that your confirmed booking cannot be accommodated, we will endeavour to find suitable alternative accommodation of an equal or better standard to the Hotel holding the Guest’s guaranteed booking.

 

HOTEL PROPRIETORS ACT 1956

Loss of or Damage to Guests’ Property

Under the Hotel Proprietors Act 1956, a hotel proprietor may in certain circumstances be liable to make good any loss of or damage to a guest’s property even though it was not due to any fault of the proprietor or staff of the hotel.

This liability however-

(a) extends only to the property of guests who have engaged sleeping accommodation at the hotel;

(b) is limited to £50 for any one article and a total of £100 in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;

(c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.

This notice does not constitute an admission either that the Act applies to this hotel or that liability there under attaches to the proprietor of this hotel in any particular case.

Damage

We reserve the right and you hereby authorise us to charge your credit or debit card for any damage incurred to your room or the Hotel during your stay (including and without limitation to specialist cleaning services) or for any items that are missing or damaged when you leave.

Promotions

If you sign up to receive email marketing communications from us, we will send you emails with details of special offers and promotions as well as relevant news and information. An unsubscribe link will be featured on each message we send to you, should you no longer wish to receive these emails please click the link and follow the instructions. You may withdraw consent at any time by contacting dpo@www.dudsburygolfclub.co.uk and stating you wish to withdraw your consent for full or partial processing.

Dudsbury Golf Club, Hotel & Spa will not share your details with any third party.

Wi-Fi

All Hotel Residents have access to Wi-Fi free of charge in their bedroom. Free Wi-Fi is accessible in public areas in the hotel. Bandwidth limitations may apply.

Safe & Secure Environment

We want to maintain a safe and secure environment for you and your family and may ask for your identification on arrival. We don’t knowingly allow anyone to use or visit our hotels who is a convicted child sex offender, subject to the notification requirements of the Sexual Offences Act 2003, or subject to a Sexual Risk Order, Risk of Sexual Harm Order or Child Abduction Notice.

Cybercrime and Fraud

Please be aware of the increase in cybercrime and fraud. If you receive an email that appears to come from Dudsbury Golf Club, Hotel & Spa but which provides different bank details or different or unusual references it is unlikely to be genuine. Please do not reply to that email or act on any information contained in it but contact us immediately to check the account details. We will not accept responsibility if you transfer money into an incorrect account.

The following points apply to all special offers unless specifically stated otherwise:

  • All per person prices quoted are based on 2 adults sharing a standard Twin/Double Room.
  • Single room supplements may apply.
  • All offers are strictly subject to availability.
  • Certain dates may be subject to a minimum night stay restriction.
  • Upgraded rooms will result in a supplement being added.
  • Entertainment details may be subject to change.
  • Hotels reserve the right to cancel or postpone entertainment at short notice.
  • Individual offers cannot be combined.
